DEKKO Legacy Group is looking for a highly organized and proactive Executive Assistant to the Executive Director to provide comprehensive administrative and executive support. The role will involve managing schedules, coordinating meetings, preparing correspondence and reports, maintaining confidential information, and ensuring smooth communication with internal and external stakeholders. The ideal candidate should have excellent communication, coordination, time-management, and organizational skills, with the ability to handle multiple priorities professionally.
Roles and Responsibilities:
- Manage the Executive Director's calendar, appointments, meetings, and travel arrangements.
- Prioritize schedules to maximize the Executive Director's productivity.
- Prepare meeting agendas, presentations, reports, and briefing materials.
- Draft professional correspondence, presentations, and official communications.
- Handle confidential information with the highest level of integrity and discretion.
- Track strategic initiatives and monitor progress across different departments.
- Follow up with department heads to ensure timely completion of assigned tasks.
- Prepare project status reports and executive dashboards.
- Coordinate cross-functional meetings and document action items.
- Serve as the primary point of contact between the Executive Director and internal/external stakeholders.
- Coordinate communication with factories, corporate departments, buyers, and business partners.
- Screen calls, emails, and correspondence while ensuring timely responses.
- Organize executive meetings, board meetings, and leadership discussions.
- Record minutes of meetings (MoM) and monitor follow-up actions.
- Ensure action items are completed within agreed timelines.
- Assist in preparing annual business plans, departmental reports, and management presentations.
- Monitor departmental KPIs and provide regular updates to the Executive Director.
- Coordinate visits, audits, and executive events.
- Maintain organized records of important documents and executive files.
- Conduct research and gather information to support executive decision-making.
- Analyze reports and summarize key findings.
- Identify operational issues and proactively recommend solutions.
- Build strong relationships with internal teams, vendors, buyers, and external partners.
- Represent the Executive Director in meetings when delegated.
- Ensure effective communication between factories and the corporate office.
- Maintain strict confidentiality regarding business strategies, financial information, and organizational decisions.
- Ensure compliance with company policies and executive office procedures.
Academic Qualifications:
- Bachelor of Arts (BA)
- Concentration/Major: Graduate/Masters in any discipline
